Hotel Mattress Sample Inspection: What to Record
A hotel mattress sample inspection should establish what has been supplied, how it matches the agreed specification and which issues remain open. Separate visible checks from comfort approval and any required laboratory evidence.
Confirm the Sample Identity
Record the supplier’s sample code, size, construction revision and delivery condition. Check whether the cover, filling and packaging are production proposals or temporary substitutes. Photograph the label and retain the accompanying specification.
For a replacement programme, identify the room type and existing base the sample is intended for. The National Bed Federation’s National Bed Federation: Bed Bases Explained recommends confirming mattress and base compatibility. Review that pairing before evaluating the mattress as a standalone item.
Inspect Against an Agreed Sheet
| Check | Record |
|---|---|
| Dimensions | Width, length and thickness using the agreed measurement method |
| Workmanship | Seams, piping, cover condition and visible damage |
| Identity | Label and specification matched to the sample |
| Room fit | Fit on the intended base and relationship to bedside furniture |
| Documents | Care instructions and any required model-specific reports |
Agree dimensional tolerances before judging a result. State the preparation and measurement conditions, particularly if the sample arrived in compressed packaging. Do not invent a universal recovery time or tolerance to make the check sheet look complete.
Ask Housekeeping to Review the Care Instructions
The National Bed Federation’s National Bed Federation: Caring for Your Bed tells buyers to follow the mattress’s supplied care instructions. Obtain those instructions for the proposed model and establish whether it is intended to be rotated, turned or handled in another specified way.
Check whether staff can carry out the proposed routine in the room layout. Record the intended protector separately, including its own care instructions. Do not assume a mattress cover is removable or washable because a zip is visible.
Close the Open Items
For each issue, record a photograph, the required correction, an owner and the confirmation needed. Mark unreviewed evidence as pending. Visual inspection cannot establish fire performance, emissions performance or long-term durability; review any project-required reports separately for their applicable model and scope.
Attach the comfort review to the room approval record. Send YEINIHOME the inspection requirements with the procurement brief, so the proposed sample can be discussed against clear criteria. Later changes should follow the furniture change-control process.
Check which way the mattress may be turned
Put a removable orientation card beside the sample during the review. Mark the head end and identify the intended sleeping surface using the supplied instructions. Keep the card out of the finished bed and do not attach it in a way that damages the cover.
Rotation and turning are different actions. Rotating a mattress head to foot keeps the same face uppermost. Turning it over puts the opposite face uppermost. Ask which actions are permitted for the exact construction and record the supplier's schedule. Do not transfer instructions from a two-sided sample to a one-sided production proposal.
The National Bed Federation's care guidance distinguishes one-sided mattresses from models designed to be turned. It also tells buyers to follow the supplied care instructions. Use that distinction to check the document; this guide does not prescribe a universal maintenance interval.
Review the care task in the intended room
Record whether the agreed routine requires removing bedding, moving the bed or accessing both sides. Ask the operator to assess the task with appropriate handling arrangements; sample approval should not involve an improvised lift by an unprepared reviewer. Keep handles, lifting instructions and any assistance requirement in the operating record rather than assuming that every stitched handle is a carrying point.
For each care action, list the permitted method, document reference, responsible role and any room restriction. A visible zip belongs in a separate question: whether opening it is intended, which part is removable and how that part may be cleaned. A washable protector does not establish that the mattress cover can be washed.
Keep the base compatibility check linked to this sample. If the base or mattress construction changes, confirm which observations still apply. Send YEINIHOME (言逸家) the orientation and care questions with the mattress specification; request answers for the selected model instead of approving a generic care leaflet.
Questions Before You Order
Does a Zip Mean the Mattress Cover Can Be Washed?
No. Confirm whether removal is intended and which cleaning instructions apply to the actual cover and construction.
What Should Remain Pending After a Visual Inspection?
Keep unreviewed documents and unresolved specification differences open.
Does rotating a mattress mean flipping it over?
No. Head-to-foot rotation keeps the same face uppermost. Turning changes the upper face. Follow the instructions for the selected construction and do not assume both actions are permitted.
