Hotel Mattress Procurement: What to Include in Your Enquiry
A useful hotel mattress enquiry identifies the room types, quantities, mattress dimensions and intended bed bases. It also separates the items included in the price from the details still awaiting approval. Suppliers can then quote against the same brief.
Start With the Room Schedule
List each room type separately, even when the design looks similar. Record the number of mattresses per room and the total required. Distinguish opening stock from any proposed spare stock; an unspecified allowance makes competing quotations harder to compare.
| Field | What to Provide |
|---|---|
| Room and quantity | Room code, mattresses per room and total quantity |
| Dimensions | Width, length and intended thickness, with units |
| Bed base | Drawing or specification of the proposed support |
| Sample review | Who approves the sample and which details remain open |
| Delivery | Destination, installation phase and known access restrictions |
Identify the Base Before Asking for a Match
The National Bed Federation advises checking that the mattress and base are suitable for use together, particularly when bought separately. See National Bed Federation: Bed Bases Explained. Attach the relevant drawing rather than describing the base only as a “hotel bed”.
If the bed frame is already installed, provide its model or measured opening and support details. Use the bed-frame and mattress fit guide to organise those measurements. Mark unconfirmed information instead of letting a supplier infer it from a room photograph.
Make the Quotation Scope Visible
Ask suppliers to list the mattress, protector, topper, packaging, delivery and any room placement separately where applicable. Do not assume that a photographed topper or matching base is included. State any project-specific testing requirements and ask what evidence is available for the proposed model.
A firm or medium label is not a complete comfort specification. Put the proposed sample reference on the comparison sheet and leave comfort approval pending until the buyer reviews it. The sample comparison guide explains how to record that decision.
Keep Changes Traceable
Give the enquiry a date and revision. If quantities, thickness or the base change, send the same revision to every supplier still quoting. Retain the earlier version so the reason for a price difference can be checked.
For a combined bedroom order, use the guest-room furniture schedule. Send YEINIHOME the room schedule and unresolved questions through the project enquiry form; sample arrangements, specifications and supply scope need confirmation for the actual request.
Count physical mattresses separately from sleeping places
A room described as sleeping two people might use one large mattress or two separate mattresses. Put the physical pieces on the procurement schedule before comparing quotations. A room count or a label such as “double” does not resolve that quantity.
In a hypothetical ten-room schedule, six rooms use one mattress each and four rooms use two each. The order contains 6 × 1 + 4 × 2 = 14 mattresses. If the two room groups use different sizes, retain separate six-piece and eight-piece lines; the combined total is useful for reconciliation, not a shared product specification.
Define a convertible arrangement as its own configuration
If the operator wants twin beds that can also form a larger arrangement, identify the proposed mattresses, bases and any joining components. Ask for confirmation that the selected products support both intended layouts. Placing two mattresses beside each other does not establish an approved joining system or the same feel as one continuous mattress.
Record physical mattress dimensions with units, base references, whether any connectors are included, and the protector or topper quantities for each operating arrangement. Avoid treating an accessory used only in the combined layout as an extra mattress. Check where unused accessories will be kept when the room changes configuration.
The National Bed Federation advises checking that mattresses and bases are suitable for use together. Apply that check to each proposed arrangement. Comfort and the centre join need review on the actual sample; no compatibility or guest preference is implied by the arithmetic above.
Send YEINIHOME (言逸家) the two quantity columns, physical pieces and rooms served, with the mattress enquiry. Leave a convertible option marked pending until its construction, included components and sample have been confirmed.
Questions Before You Order
What if the Bed Base Has Not Been Selected?
State that it is undecided and request the proposed mattress's support requirements. Resolve the pairing before final approval.
Should Protectors and Toppers Be Included in the RFQ?
List them explicitly if needed, with separate quantities and specifications. Do not assume they are part of the mattress price.
Should two single mattresses be quoted as one double mattress?
List two physical mattresses with their dimensions and approved base arrangement. If they will be joined, identify the required components and review the combined sample. Do not assume interchangeability from a room label.
