PROJECT BUYING GUIDES / SOURCING
Control Furniture Changes Across A Hospitality Project
A furniture change can affect several rooms, related finishes and an order already in progress. Use one change register to connect the design decision with purchasing, production and installation.

Identify The Baseline Being Changed
Record the current furniture schedule, drawing and finish revisions before describing the proposed change. Give the request a reference and identify every affected item and area. A new upholstery selection may apply to one suite or an entire room type; the register must say which. Keep a request for an alternative separate from an instruction to produce it.
Ask For The Project Consequences
Request the supplier’s response on samples, production status, packing and the proposed programme. Ask the project team about related dimensions, services and finishes. Changing a table size can affect seating and circulation, while a headboard change can affect lighting positions. Record these dependencies before asking the authorised person to decide. Do not hide unresolved questions inside a revised picture.
Record A Clear Decision
The Association for Project Management describes change control as capturing and evaluating proposed changes before approval, rejection or deferral. Apply that sequence to the furniture package. Name the decision owner and record any conditions. If a change is approved only for a future phase, identify the earlier phase that still uses the previous version. Both versions need a clear purpose.
Issue The Current Instructions
After approval, update the affected schedule rows, drawings and finish references. Mark superseded documents and ask the receiving team to acknowledge the version they will use. Review open changes before production release and again before dispatch. Keep the history for reference while making the current instruction easy to find. Keep the current production instruction separate from the revision history.

Separate Approval From the Version Actually Released
A change can be approved while the revised instruction has not yet reached production. Use distinct entries for the decision, the document issued and the supplier's acknowledgement. Record the affected item codes and rooms at each stage. An email saying approved is incomplete if it does not identify the drawing or finish revision being approved.
The APM change-control guidance connects evaluation and a decision with updating the plan and monitoring implementation. For furniture procurement, apply that sequence to the actual schedule rows, sample references and packing instructions. The following example is an editorial planning exercise, not a YEINIHOME project case.
A Split-Phase Change Needs Two Clear Instructions
Suppose an order has forty chairs, with twenty already assigned to the first delivery phase. A new upholstery selection is approved for the remaining twenty. The total order is still forty, but the two groups now need separate finish and phase references. Ask the supplier to confirm the actual production status before assuming the earlier group can be changed.
Keep the original finish attached to the first group and the revised finish attached to the second. If production status is unknown, leave the change open. The quantities in this example do not imply that a supplier will accept a late change or hold an agreed price or date.
Close the Change With Evidence of Implementation
- Record the request, previous revision and proposed revision.
- Identify affected rooms, item quantities and delivery phases.
- Obtain responses on production, samples, packing and any commercial or timing consequences.
- Record the authorised decision and issue the revised documents.
- Obtain acknowledgement, then check the relevant records or agreed evidence before closing the change.
Record finish, dimension and quantity approvals separately. The RIBA Plan of Work identifies design coordination and change control within the project process; it does not prescribe a furniture change fee or acceptance rule. For a YEINIHOME hospitality order, submit the changed rows with the previous version and request written confirmation of what will be supplied.
Questions Before You Order
Can a New Reference Image Authorise a Change?
An image can explain the request, but it should not replace a recorded decision covering specification, affected quantities and consequences.
How Are Different Delivery Phases Handled?
Identify which phase uses each revision. Preserve that link in the packing and room records instead of labelling both versions simply “latest”.
When is an approved furniture change complete?
When revised instructions have been issued and acknowledged, and the agreed implementation evidence has been checked. Keep outstanding conditions open.
