Approving a Hotel Bed Sample Before a Bulk Order

In short: Approve a hotel bed sample by component and drawing revision. Record which decisions a temporary mattress, fabric or fixing leaves open before bulk ordering.

Approve a hotel bed sample as a documented assembly: the named frame, mattress, support components, finishes and fixing arrangement. A signed photograph alone cannot record everything the production order is expected to reproduce.

Identify the Sample Before Inspecting It

Label the sample with the item code and drawing revision. Note which parts are final and which are temporary. If the mockup uses a different mattress or substitute fabric, keep the affected decisions open rather than signing an unqualified approval.

Place the sample in the intended room layout, with the bedside furniture and bedding. Record whether the room dimensions and wall finishes match the proposed installation. This prevents the sample from being approved in conditions that cannot be repeated on site.

Use a Check Sheet With Clear Outcomes

CheckRecord
DimensionsMeasured values against the agreed drawing and tolerances
AssemblyCorrect parts, hardware and instructions; any unresolved discrepancy
AppearanceSeams, edges, alignment and finish against labelled samples
Room fitCabinet operation, services access and housekeeping observations
MaintenanceCare instructions and confirmed replacement arrangements
Open issuesPhotograph, action owner, deadline and recheck requirement

Use “approved”, “revise and resubmit” or “not checked” for each item. A blank box is ambiguous. Where the team accepts a visible variation, describe it clearly enough for someone absent from the meeting to understand the decision.

Keep Inspection Separate From Performance Testing

BSI: BS EN 1725:2023 public scope sets out a safety, strength and durability scope for assembled adult beds. A visual sample review does not demonstrate compliance with that standard.

If the project requires test evidence, review it separately against the specified configuration. Do not improvise overload tests during a showroom visit. Record ordinary-use observations in the mockup, and refer suspected structural problems to the supplier and the project’s technical reviewer.

Close Changes Before Releasing the Order

Attach the revised drawing, finish references and agreed corrections to the approval record. State whether a correction needs a new physical sample, a component sample or another form of confirmation. Keep that decision specific to the issue.

Follow the hotel mockup-room approval process and use the furniture change-control record if the order changes afterwards. An approved sample should remain traceable to the production specification.

When reviewing YEINIHOME beds and bedroom furniture, send the room requirements and inspection checklist with the enquiry. Identify any required evidence early so an attractive selection image is not mistaken for a completed technical approval.

Limit approval to the parts the sample actually proves

Name the checks affected by each temporary sample component. One signature across the whole bed can hide a mix of final selections and provisional observations.

Suppose a bed sample has the intended frame and headboard but a temporary mattress of a different thickness. The team can record the headboard fabric decision against its labelled swatch. Finished bed height, visible headboard height and the relationship to bedside furniture still need review with the intended mattress. Confirm base compatibility separately, following the National Bed Federation's advice on mattress and base pairings.

Record which decisions each temporary part affects

  • Identify the temporary part and the final part expected to replace it, including the drawing or sample revision.
  • List the observations that remain usable and the decisions still open. Explain why each is affected.
  • Name the person who will review the correction and the evidence required, such as a revised drawing, measured assembly or physical sample.
  • Record the recheck result against the corrected configuration before releasing the affected specification.

If the correction alters the headboard position or support construction, revisit the connected checks rather than carrying every earlier approval forward. Retain the original observation so the change remains understandable.

The publicly readable BS EN 1725 scope covers safety, strength and durability for assembled adult beds. It does not turn this editorial approval record into a performance test or establish a dimensional tolerance for the order.

For a YEINIHOME (言逸家) bed sample review, send the marked component list with the room drawing. Ask for the final construction and any unresolved fixing details in writing. Record a tolerance only when the relevant parties have agreed it.

Questions Before You Order

Can a Bed Sample Be Approved With a Substitute Mattress?

Only for the checks that substitution does not affect. Keep final fit, support and room-height approval open until the intended pairing is reviewed.

Is a Signed Photograph Enough?

Attach the drawing, material references and itemised decisions. The photograph records appearance but cannot define the complete ordered assembly.

Does changing a temporary mattress cancel every sample approval?

Review the decisions that the change affects. A separately approved fabric reference may remain valid, while finished height, support compatibility and bedside relationships need another check. Keep the reason and configuration with each decision.
