Bed Delivery and Installation: A Project Checklist
Plan bed installation using the packed component dimensions, the complete route into the room and a clear assembly scope. The finished bed size does not tell you whether its headboard carton can turn into a service lift or pass through a corridor junction.
Start With a Packing List
Request carton dimensions, gross weights and the number of cartons for each bed configuration. Identify the largest rigid component. Check whether the headboard, rails and base arrive separately and where the hardware is packed.
For repeated rooms, agree labels that connect each carton to a room type and item code. Make the quantity check possible without opening every package in the loading area. If the supplier changes the packing arrangement, update the access review before shipment.
Walk the Complete Route
Record door openings, lift openings and internal lift dimensions, turns, stairs and temporary obstructions. Include the route from the unloading point to storage and from storage to the final room. Check booking restrictions with the site team rather than assuming a delivery vehicle can remain at the entrance.
HSE: Assess Manual Handling You Cannot Avoid considers the task, load, working environment and individual capability. Weight is only one part of that assessment. Use the actual packages and route when the installation team plans equipment and handling; do not decide crew size from a photograph.
| Before Dispatch | Before Assembly |
|---|---|
| Confirmed carton list and room labels | Dry, ready rooms and agreed storage space |
| Access route checked against packages | Current instructions and counted hardware |
| Delivery and installation responsibilities named | Correct frame and mattress for each room type |
| Damage-reporting procedure agreed | Protection and packaging-removal plan |
Make the Installation Scope Explicit
Separate unloading, movement to rooms, assembly, wall fixing and waste removal in the order documents. Identify who provides tools and any specialist work. Where headboards attach to walls, the installer needs the actual substrate and fixing requirements, not just the furniture elevation.
Photograph packaging damage before unpacking and follow the agreed reporting process. Keep unidentified components aside until they are matched to the instructions. Do not improvise missing fixings to meet a room handover deadline.
Hand Over a Usable Record
Record the rooms completed, missing items, defects and responsible person for each open action. Retain assembly and care instructions where the operations team can find them.
Connect the bed schedule to the phased hotel furniture delivery plan. For the wider site route, use the furniture site-access checklist. When you send a project enquiry to YEINIHOME, include known access restrictions with the quantities; carton details still need confirmation for the selected beds.
Group a complete bed assembly kit before releasing a room
A delivery can contain the expected number of cartons while one bed still lacks its correct hardware. Group the headboard, rails, base or slats, support parts and fixing pack by the manufacturer's assembly reference. Include only components used by that bed design; the list is not a universal bed specification.
Use separate fields for “received” and “matched to this bed.” A bag of bolts found in the staging area may belong to another size or revision. Do not borrow parts from a neighbouring kit merely because the threads appear to fit. Request identification and the approved replacement when the contents differ from the instructions.
Distinguish a complete kit from an installed bed
In a hypothetical delivery of four beds, three kits are complete and one has an unidentified support part. All four headboards may have arrived, but only three kits are ready for assembly review. Keep the fourth bed pending until the part is identified; do not record four completed beds from the headboard count.
- Match the bed code, size and drawing revision to the destination room.
- Compare the components and fixing pack with the current instructions.
- Record missing, damaged or unidentified parts against that bed.
- Let the responsible installer confirm assembly and support placement before the room is handed over.
HSE's manual-handling assessment guidance includes the task and working environment. Include the staging and assembly area in that review, as well as the route from the vehicle. Keep the required space clear according to the site's plan; this checklist does not set a handling crew size or load limit.
The National Bed Federation's care guidance directs owners to the supplied mattress instructions. Retain those alongside the bed assembly record, while keeping the two documents distinct. For a YEINIHOME bed enquiry, ask which parts arrive fitted and which must be assembled for the selected configuration.

Questions Before You Order
Can Finished Bed Dimensions Be Used to Check Access?
Use the packed component dimensions and largest rigid part. The route must accommodate the packages that will arrive.
What if Hardware Is Missing During Assembly?
Record the item and missing part, keep the assembly pending and request the correct component. Do not substitute unapproved fixings to finish the room.
Can hardware be shared between beds that look identical?
Only after the supplier or responsible installer confirms the part and revision are compatible. Keep an incomplete kit pending instead of substituting unidentified fixings.
